Connect Google Calendar

Seamless sync for personal and Workspace accounts

Google Calendar offers a secret iCal address that lets you sync your calendar with Book that Meeting without granting full access to your Google account. This guide works for both personal Gmail accounts and Google Workspace.

What You'll Need
  • A Google Calendar (personal or Workspace)
  • A Book that Meeting account
  • 3 minutes to complete setup

Step-by-step guide

Open Google Calendar Settings

Go to calendar.google.com and click the Settings gear icon in the top right, then select "Settings" from the dropdown.

Select Your Calendar

In the left sidebar, you'll see a list of your calendars under "Settings for my calendars". Click on the calendar you want to connect to Book that Meeting.

Multiple Calendars
You can connect multiple calendars! Repeat these steps for work, personal, or shared calendars.

Find the Secret iCal Address

Scroll down to the "Integrate calendar" section. You'll see several options—look for:

Secret address in iCal format

This URL is your private calendar feed

Keep This Secret!
Do NOT use the "Public address in iCal format." That makes your calendar visible to the entire internet. Always use the SECRET address.

Copy the URL

Click on the secret iCal address link or the copy icon next to it. The URL will look like this:

https://calendar.google.com/calendar/ical/[your-email]/private-[token]/basic.ics

The private-[token] part is unique to you and grants read-only access to this calendar.

Add to Book that Meeting

Head over to Book that Meeting:

  1. Navigate to Settings → Calendars
  2. Click "Add Calendar Source"
  3. Paste the Google iCal URL you just copied
  4. Give it a descriptive name (e.g., "Work Google", "Personal Gmail")
  5. Pick a color for visual distinction
  6. Hit "Save"

Verify & Test

Check your availability view in Book that Meeting. Your Google Calendar events should now block out the corresponding time slots. Test by creating a test event in Google Calendar and refreshing Book that Meeting.

Success!
Your Google Calendar is now synced. Book that Meeting will automatically prevent double bookings.

Troubleshooting

Events not syncing?

  • Verify you copied the SECRET address, not the public one
  • Check that the URL ends with .ics
  • Try manually refreshing the calendar in Book that Meeting
  • Wait 15-30 minutes for the initial sync to complete
  • Ensure your Google Calendar isn't set to private in sharing settings

Need to revoke access?

If your secret address is compromised or you want to rotate it:

  1. Go back to Google Calendar Settings → Your calendar
  2. Scroll to "Integrate calendar"
  3. Click the reset icon next to "Secret address in iCal format"
  4. Copy the new URL and update Book that Meeting

The old URL will stop working immediately.

All-day events showing incorrectly?

Make sure all-day events marked as "Free" in Google Calendar have the correct transparency setting. Book that Meeting respects the free/busy status from your calendar feed.

Best practices

Secure Storage
Store your secret iCal URL in a password manager. Never share it via email or messaging apps.
Regular Rotation
Rotate your secret address every 6-12 months as a security best practice, especially for Workspace accounts.
Multiple Calendars
Connect both your work and personal calendars to prevent scheduling conflicts across all your commitments.
Sync Timing
Google Calendar feeds typically update every 15-30 minutes. For real-time updates, use the manual refresh button.

Google Workspace tips

Using Book that Meeting with Workspace

If you're on Google Workspace, you can connect multiple calendars from your organization:

  • Your primary work calendar
  • Shared team calendars (if you have access)
  • Resource calendars (conference rooms, equipment)
  • Personal calendar attached to your Workspace account
Admin Permissions
Some Workspace admins restrict iCal export. If you can't find the secret address option, contact your IT department.
